Power Apps Consulting: How to Scope Your Project

A useful consulting brief starts with the work your team needs to do—not a list of screens. Here’s what to prepare before discussing a custom app or improving one you already have.

When Power Apps consulting is a good fit

Consider an engagement when a shared spreadsheet runs a critical process, staff re-enter information from email, or paper forms hide the status of a request. Consulting can also help when an existing app is slow, difficult to maintain, or understood by only one person.

Ultomation’s Power Apps consulting service covers custom canvas and model-driven apps, SharePoint and Dataverse integration, legacy form replacement, and existing-app improvements.

    1. Map one process from start to finish

Choose a specific process, such as purchase requests or field inspections. Describe what starts it, who does each step, where information goes, and what marks it complete. Include exceptions: rejected requests, missing details, absent approvers, and corrections.

For a purchase request, a starting brief could be: an employee submits an item and amount; a manager reviews it; finance handles requests that meet the agreed approval rule; the requester can see the current status. Treat this as an example, not a finished specification.

    2. Identify users, data, and access

    • List the people using the app and the tasks each needs to complete.
    • Note whether they work on a phone, tablet, or desktop.
    • Identify spreadsheets, SharePoint lists, document libraries, or other systems involved.
    • Explain who may view, create, approve, and change records.
    • Prepare anonymized sample forms and records; don’t send passwords or confidential customer data.

A task-focused mobile experience may suit a canvas app. A process with many related records may suit a model-driven app on Dataverse. The decision should follow your data, users, and licensing—not precede discovery.

    3. Separate essential scope from later improvements

Write down what the first version must accomplish and what can wait. For each essential task, describe how your team will check it works: submit a complete request, reject one with missing details, route it to the correct approver, and confirm users cannot see records outside their access.

Flag integrations, approval steps, data migration, and existing-app issues early. These affect the work involved. Ultomation provides a written scope and estimate before work begins; costs depend on screens, data sources, integrations, and approval steps.

    4. Bring licensing and ownership questions

Have your Microsoft 365 administrator confirm the licenses and environments currently available. Ask which proposed connections require additional licensing, who will own the app and its flows, and how changes will be tested before launch. Don’t assume an existing Microsoft 365 subscription covers every design; licensing is reviewed during discovery.

What to expect from Ultomation’s process

    1. Requirements workshop: map the current process, users, data, and approval rules before designing screens.
    2. Clickable prototype: review an early working prototype so feedback can shape the design.
    3. Build and test: develop iteratively in a development environment and test real scenarios and edge cases with your team.
    4. Deployment and handover: deploy using solutions, document the app, and walk through it with the people who will own it.

    Your discovery-call checklist

Bring a short process description, anonymized examples, user roles, data sources, essential tasks, known constraints, and the name of the person who will own the solution. It’s fine to leave uncertain decisions open—that is what discovery is for.

Request a consultation and describe the process you want to improve.
